Please note that under the Finnish Associations Act the name of the association, place, date and attendees must be recorded in the minutes you will deliver to us. The opening of the meeting, confirmation of the quorum and validity of the meeting and closing of the meeting must be recorded in the minutes. 

The statutory general meeting minutes must be signed by the chair of the meeting and examined by at least two persons elected for the task at the meeting or approved by the association. The chair and the secretary usually sign the board meeting minutes. The minutes can be signed in person or using a digital signing service we accept. At present, we accept the following external digital signing services:

Assently, Contractbook ApS, DocuSign, Docue Oy, Dokobit, Telia Sign, Signicat, Signom, Visma Sign, Nets, Penneo, Verified.eu (Finago, Accountor, Procountor), Zefort, Signspace and Scrive KSI (NOTE! PAdES documents are not accepted).

If decisions are made otherwise than at a meeting, the board of the association must ensure that dated minutes signed by the chair of the board are drafted on the decision-making procedure, the counting of votes and the result of a vote as well as the decision made. 

If the association is not a registered association, the method of signing varies according to the applicable legislation.

* If a road maintenance association does not have a right-of-use unit extract, the road maintenance association is not organised. A non-organised road maintenance association cannot open a corporate bank account. A right-of-use unit extract can be obtained from the National Land Survey.

** A taxation partnership that does not operate as a business and thus does not need corporate banking services can establish a customer relationship connected to a personal bank account.
